1. Information we collect and how we receive it

When you submit a Facebook or Instagram instant lead form, send an inquiry through our website, or contact us by email or WhatsApp, we collect the details you choose to provide: your name, company, email address, telephone number, and purchasing requirements. Requirements may include the product, application, specifications, quantity, packaging, delivery destination and your message. We may also receive your country or region, the submission date and records of our conversation.

Meta may prefill fields from your account; please review them before submitting. Our website inquiry form opens your email application with a prepared message. We receive that inquiry when you send the email. Please do not include identity documents, payment card details, health information or other sensitive personal information in an inquiry.

2. How we use the information

• Respond to your inquiry and contact you using the email address or telephone number you provide.
• Clarify purchasing needs, match product grades, and prepare quotations, samples and technical information.
• Follow up on your request and, if you proceed, coordinate the resulting business relationship.
• Maintain inquiry records, handle privacy requests, and meet applicable legal obligations.

We use lead details for the inquiry and related follow-up you request. Unrelated promotional communications require any permission required by applicable law. You may ask us to stop follow-up at any time. Where applicable, we rely on your consent, steps you request before a contract, our legitimate interests in responding to business inquiries where permitted, or legal obligations. You may withdraw consent without affecting earlier lawful processing.

3. Who receives information

Access within our company is limited to the people responsible for handling your inquiry and any resulting order. We do not sell, rent or trade your lead information, or provide it to other companies for their own marketing.

Service providers used to receive and communicate about inquiries, such as Meta, email providers and messaging providers, process information as needed to operate their services. When asking a partner factory to assess a product requirement, we use the technical requirement without your name or contact details where possible. We obtain your permission before sharing identifiable inquiry details with a partner factory for that purpose. Information may also be disclosed where required by law or needed to protect legal rights.

Meta processes information submitted on Facebook and Instagram under its own Privacy Policy. This policy explains our handling of the lead information we receive; it does not replace Meta's policy.

4. Storage, security and international processing

Our designated business email mailbox is the main working location for inquiry records. The website's existing inquiry email recipient is Sunq01933@gmail.com; sales@zhongtongchem.com is also a privacy contact. Leads submitted on Meta are initially held in Meta's lead tools and may be transferred by our responsible staff to the designated mailbox for follow-up. Any necessary working copies are subject to the same access and retention rules. This policy page itself has no lead form.

We use account access controls and limit handling to staff who need the information. No internet transmission or storage method is completely secure. Our business is based in China, and the platforms and email services involved may process information in other countries. Where applicable, we use the safeguards required for international transfers.

5. How long we keep lead information

Our retention period for lead and inquiry information is three calendar months from the date we collect it. At the end of that period, the responsible staff must delete or anonymize the lead records and working copies under our control, including records in email and company-accessible lead tools where deletion is available. Deletion and anonymization are handled by our responsible staff.

If an inquiry becomes an order, only records needed to perform that order or meet applicable accounting, legal or dispute-handling requirements may be retained separately for the required period. Meta and other providers may retain their own platform records under their policies; we cannot promise deletion of records outside our control.

6. Your choices and privacy requests

You may contact us to request access to, correction or deletion of your information; to stop sales follow-up; or, where applicable, to withdraw consent, object to processing, request a restriction or obtain a portable copy. Depending on your location, you may also complain to your relevant data protection authority. We may ask for information reasonably needed to verify a request and will respond within the period required by applicable law.

Email either address below with the subject "Privacy Request". Tell us the email address or telephone number used in the inquiry and what you want us to do. Do not send identity documents unless we explain why they are necessary.

7. Website service data

Our website hosting and delivery providers may process technical information such as IP address, browser information and request logs to deliver pages, protect the website and diagnose errors. This is separate from the information you voluntarily submit in a lead form. Meta and messaging services apply their own privacy and cookie policies when you use them.

8. Children and changes

Our inquiries are intended for adult business contacts. We do not knowingly solicit personal information from children. If you believe a child has submitted information, contact us to request removal. We may update this policy when our practices change and will revise the date above.
